Tender validity explained

What is a tender validity period?

A tender validity period, also called a bid validity period, is the period during which a submitted bid remains open for acceptance under the terms of the tender. The tender documents should state the length of the period, the date from which it is calculated and any applicable extension process.

A validity period normally begins from the trigger specified in the tender documents. This may be the official closing date, submission date or another clearly stated event. The tender-specific wording must always be checked before calculating an expiry date.

Terminology note: "Tender validity period" and "bid validity period" are commonly used to describe the same concept.

The validity period should not be confused with the tender closing date, contract duration or the expiry date of a compliance document.

After the submission

The tender may be closed — but your responsibility to monitor it is not.

Submitted tenders are often recorded in a spreadsheet and then receive little attention until an award notice arrives. During that period, the validity date may be approaching, an extension request may arrive and the commercial assumptions behind the original response may need review.

Free validity extension tracker

No registration required. Labels below are internal planning statuses only.

The tracker supports internal administration only. It does not create, accept, reject or legally validate an extension. Respond using the official process and obtain appropriate advice where required.

Clear limitations

BidBetter organises the validity record. It does not determine the legal position.

Tender-specific period

The applicable validity period comes from the tender documents and official communication, not from BidBetter defaults.

No universal default

Do not assume that every South African tender uses the same validity period or calculation method.

Source verification

Confirm original and revised dates against official issuing-organisation information.

Extension authority

An extension request should be verified through the issuing organisation's authorised communication process.

Legal complexity

The legal effect of expiry and extension may depend on the tender terms, procurement framework and circumstances.

Professional review

Seek appropriate legal, commercial or procurement advice where the consequences are material or unclear.

BidBetter is an independent tender-management platform and is not the issuing authority. The original tender documents and official correspondence remain authoritative.
